Terms of Service

These Terms of Service ("Terms") govern your use of QuoteSorted ("we", "our", or "us") and the platform at quotesorted.uk (the "Service"). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

QuoteSorted is operated from the United Kingdom and is intended for UK tradespeople (electricians, gas engineers, plumbers, and related trades). The Service is not targeted at consumers under the age of 18.

You must provide accurate registration information and keep your password confidential. You are responsible for all activity that takes place under your account. You must notify us immediately of any unauthorised use of your account.

You must be at least 18 years old, legally capable of entering a binding contract, and (where you generate certificates) appropriately qualified, registered, and insured for the trade work you record.

Free trials and paid plans

QuoteSorted offers free trials and paid subscription tiers. Trials require a valid payment method on file; no charge is taken until the trial ends. Your subscription renews automatically each billing cycle (monthly or annual) until cancelled.

Payments

Payments are processed by Square. By providing payment information you authorise us (via Square) to charge the relevant subscription fee plus any one-off add-ons (such as voice minute bundles or certificate credits) to your chosen payment method.

Cancellation & refunds

You can cancel at any time from Settings → Subscription. Cancellation takes effect at the end of your current billing period — you retain access until then. We do not offer pro-rata refunds for the unused remainder of a billing period, except where required by UK consumer law. Add-on purchases (minute bundles, certificate credits) are non-refundable once consumed.

Price changes

We may change prices for future billing periods. We will notify you at least 30 days in advance by email. If you do not agree to the new price you may cancel before the change takes effect.

The AI Receptionist ("Victoria") is an optional feature that answers and books calls on your behalf using third-party telephony (Twilio) and AI services (ElevenLabs and others). When you enable it:

• You authorise us to provision a UK telephone line on your behalf via Twilio.
• Inbound calls are recorded and transcribed for your reference and quality control.
• You include all included minutes for your tier each month; additional minutes are charged via paid bundles.
• You are solely responsible for the lawfulness of using a recording AI service in your jurisdiction, including notifying callers where required.

The Service offers optional Google Calendar integration. By connecting your Google account you grant QuoteSorted permission to read your calendar availability and create, update, or remove events on your primary calendar that correspond to jobs you schedule inside our Service. We use these permissions strictly for that purpose — see our Privacy Policy for full detail. You can disconnect Google Calendar at any time from Settings.

You agree not to:

• Use the Service for any unlawful purpose or in breach of applicable trade regulation.
• Issue or store certificates for work you are not qualified, registered, or insured to perform.
• Upload viruses, malware, or attempt to compromise the security or availability of the Service.
• Reverse-engineer, scrape, or resell the Service or its data without our written permission.
• Use the AI Receptionist to make unlawful, harassing, or fraudulent calls.

We may suspend or terminate accounts that breach these rules without notice where we reasonably believe immediate action is necessary.

You retain ownership of all content you put into the Service — customers, certificates, quotes, invoices, recordings, and calendar events. We hold this content on your behalf and only use it to provide and improve the Service. You can export or request deletion of your data at any time; see our Privacy Policy for details on retention and deletion.

You grant us a non-exclusive licence to host, process, and display your content for the sole purpose of operating the Service. We do not sell your data, share it with advertisers, or use it to train third-party AI models.

We aim for high availability but do not guarantee the Service will be uninterrupted or error-free. Planned maintenance is announced in advance where reasonably possible. We may add, remove, or change features at our discretion. We will give reasonable notice of material changes that materially reduce functionality.

QuoteSorted is a tool to assist tradespeople. Certificates, quotes, and invoices you produce are your documents — you are responsible for their accuracy and for the underlying trade work. We are not liable for any loss or damage arising from inaccurate certificates, incorrect quotes, missed appointments, lost calls, or any indirect, special, or consequential loss.

Nothing in these Terms limits liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be excluded under UK law. Subject to that, our total liability to you under or in connection with these Terms in any 12-month period is limited to the fees you paid us in that period.

These Terms are governed by the laws of England and Wales. Any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales, unless mandatory consumer-protection law gives you the right to bring proceedings elsewhere.

We may update these Terms from time to time. Material changes will be notified by email and/or an in-app banner at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance.
